Introduction

Tetrad Training Company LLC ("Tetrad," "we," "us," or "our") respects your privacy. This Privacy Policy explains how we collect, use, share, and protect your information when you visit tetradtrainingco.com (the "Site"), book a consultation, or use our coaching services (together, the "Services").

By using the Site or Services, you agree to the practices described here. If you do not agree, please do not use the Site or Services.

Tetrad is an online-only business operating from California, United States. Our Services are available to adults 18 and older only.

Information We Collect

Information you give us

Contact information. Your name, email address, and phone number if you choose to provide one.

Health and fitness information. Because we provide personal training and coaching, we collect information about your body and health so we can program safely for you. This may include:

  • Age, height, weight, and body measurements
  • Current activity level and exercise history
  • Fitness goals
  • Injuries, pain, physical limitations, and movement restrictions you report to us
  • Medical conditions or medications that may affect exercise, where you choose to share them
  • Physician clearance documentation, where you choose to provide it
  • Nutrition habits, dietary preferences, and food restrictions or allergies
  • Sleep, stress, and recovery check-ins
  • The equipment and training space available to you

We collect health information for one purpose: to design and adjust your program safely. We ask only for what that requires. You are never required to share a diagnosis — you can describe a limitation functionally instead.

Progress media. Photos, videos, or form-check recordings you choose to send us for coaching feedback.

Payment information. Payments are processed by Stripe. We do not store and cannot see your full card number, security code, or bank credentials. We receive only limited transaction details such as the last four digits of your card, the card brand, the billing name, and whether the payment succeeded.

Messages. Anything you send us by email, through the coaching app, or through a form on the Site.

Information collected automatically

When you visit the Site, our website host and any analytics tools we use record standard technical information:

  • IP address and the approximate region it indicates
  • Browser type, device type, and operating system
  • Pages viewed, the page that referred you, and time spent on the Site
  • Date and time of your visit

Information from our providers

We receive information about you from the platforms we use to run the business — our scheduling tool when you book a consultation, our coaching platform for your workout logs and check-ins, and Stripe for payment status.

Categories of Information We Collect (California Disclosure)

Under the California Consumer Privacy Act as amended by the California Privacy Rights Act ("CCPA/CPRA"), we collect these categories of personal information:

  • Identifiers — name, email, phone, and IP address. Used for account setup, service delivery, and communication. Shared with our coaching platform and Stripe.
  • Customer records — billing name and transaction history. Used for billing and recordkeeping. Shared with Stripe.
  • Commercial information — the package you purchased and your purchase history. Used for service delivery and billing. Shared with Stripe and our coaching platform.
  • Internet activity — pages viewed and session data. Used to understand and improve the Site. Shared with our website host.
  • Coarse geolocation — approximate region derived from your IP address. Used for site analytics and fraud prevention. Shared with our website host.
  • Audio and visual — form-check videos and progress photos you send us. Used for coaching feedback. Stored on our coaching platform.
  • Sensitive personal information — the health and fitness information described above. Used for program design and safety. Stored on our coaching platform.
  • Inferences — program recommendations based on your goals and history. Used to personalize your coaching. Stored on our coaching platform.

How we handle sensitive information. We use your health and fitness information solely to deliver the coaching you asked us for and to keep your programming safe. We do not use it to infer characteristics about you, and we never use it for advertising or profiling.

We do not sell your personal information. We do not share it for cross-context behavioral advertising, as those terms are defined under the CCPA/CPRA.

How We Use Your Information

We use your information to:

  • Build, personalize, and adjust your coaching program
  • Communicate with you about your program, scheduling, and check-ins
  • Process payments and manage your subscription
  • Answer your questions and provide support
  • Keep records of the services we have provided
  • Understand how the Site is used so we can improve it
  • Detect and prevent fraud, security problems, and technical issues
  • Meet our legal obligations and enforce our agreements
  • Send you updates or marketing, which you can opt out of at any time

We process your information to perform our agreement with you, with your consent (particularly for health information and marketing), to meet legal obligations, and for our legitimate interest in operating and securing the business.

How We Share Your Information

We do not sell, rent, or trade your personal information. We share it only in the ways described below.

Service providers

We rely on third-party providers to operate the business. Each is contractually required to protect your information and use it only for the purposes we specify.

  • MyPTHub — coaching delivery, messaging, workout tracking, and billing. Receives your contact details, health and fitness information, program data, and payment status.
  • Stripe — payment processing. Receives your billing name and payment credentials, which go to Stripe directly.
  • Google Workspace — consultation scheduling and video calls. Receives your name, email, and appointment details.
  • Webflow — website hosting and form submissions. Receives form submissions and standard site traffic data.
  • Website analytics providers — measuring how visitors use the Site. Receive IP address and device and browsing data.
  • Automation and workflow tools — used for automated account and subscription-renewal reminders. May receive your email address and subscription or renewal status. These tools do not receive health or fitness information.
  • Email service providers — sending program updates and newsletters. Receive your name, email address, and engagement data.

These providers maintain their own privacy policies. We encourage you to review MyPTHub's policy in particular, since your coaching records are stored there.

We add and change providers as the business grows. When we do, we update this Policy and the table above. The categories of information shared, and the purposes described in this Policy, will not expand without notice to you.

Legal requirements

We may disclose information when required by law, subpoena, court order, or other legal process, or where we believe disclosure is necessary to protect our rights, your safety, or the safety of others, or to investigate fraud.

Business transfers

If Tetrad is involved in a merger, acquisition, financing, or sale of assets, your information may transfer as part of that transaction. We will notify you before your information becomes subject to a materially different privacy policy.

Marketing Communications

If you book a consultation, become a client, or subscribe to updates, we may send you emails about your program, new offerings, wellness content, and promotions.

  • Every marketing email includes an unsubscribe link. Unsubscribing takes effect promptly and does not affect emails about your active coaching program, billing, or scheduling.
  • We will not send you marketing text messages unless you separately opt in to receive them. If you do, you can stop them at any time by replying STOP.
  • We do not sell or rent our email list.
  • You can also opt out at any time by emailing chris@tetradtrainingco.com.

Testimonials, Photos, and Marketing

We will not use your name, image, photos, videos, results, or words in any marketing, social media, or website content without your separate written consent.

If you give that consent:

  • You can withdraw it at any time by emailing chris@tetradtrainingco.com
  • We will stop using the content and remove it from the channels we control within 30 days
  • We cannot guarantee removal from third-party reposts, archives, or screenshots already circulating

Progress photos and form-check videos you send for coaching are used only for coaching feedback unless you separately agree to another use.

Cookies and Tracking

The Site uses cookies and similar technologies in two categories:

Strictly necessary cookies. Required for the Site to work — keeping it secure, processing form submissions, and remembering your preferences. These cannot be turned off.

Analytics cookies. Used to understand how visitors find and move through the Site so we can improve it. These collect information such as pages viewed, referring source, and approximate region. Analytics data is used in aggregate to improve the Site, not to build advertising profiles about you.

We do not currently run advertising, retargeting, or behavioral tracking cookies. If we add them, we will update this Policy, add a cookie consent banner, and provide an opt-out before those technologies collect information about you.

You can control cookies through your browser settings, though disabling them may affect how the Site works. We honor Global Privacy Control (GPC) browser signals where applicable.

How Long We Keep Your Information

We keep personal information only as long as we need it.

  • Your active account and coaching data — kept for as long as you are a client.
  • Coaching records after your engagement ends — 4 years.
  • Health and intake information — 4 years after your engagement ends.
  • Progress photos and videos — deleted 90 days after your engagement ends, unless you ask us to keep them.
  • Payment and transaction records — 7 years, to meet tax and accounting requirements.
  • Marketing contacts — until you unsubscribe, after which we keep a minimal record so we do not contact you again.
  • Website traffic data — 24 months.

We may keep information longer where the law requires it, or where a claim, dispute, or investigation is pending or reasonably expected.

When a retention period ends, we delete or permanently de-identify the information.

Your Rights and Choices

You may:

  • Access the personal information we hold about you
  • Correct anything inaccurate
  • Delete your personal information, subject to the retention requirements above
  • Opt out of marketing at any time using the unsubscribe link or by emailing us
  • Withdraw consent for optional uses, including testimonials

To make a request, email chris@tetradtrainingco.com. We will respond within 45 days, and may extend by another 45 days where permitted, with notice to you.

Verifying your identity. To protect your information, we will confirm your identity before acting on a request, usually by checking details already in our records. You do not need an account to make a request.

Authorized agents. You may have someone make a request on your behalf, subject to verification and proof of authorization.

No penalty for asking. We will never deny you service, charge you a different price, or give you a lower quality of service because you exercised a privacy right.

If you are a California resident

You also have the right to:

  • Know the categories and specific pieces of personal information we have collected, where it came from, why we collected it, and who we disclosed it to
  • Request deletion of your personal information, subject to legal exceptions
  • Request correction of inaccurate personal information
  • Opt out of the sale or sharing of personal information — we do not sell or share personal information
  • Limit how we use and disclose sensitive personal information — we already limit health information to delivering the coaching you requested

If you are located elsewhere

Additional or different rights may apply under your local law. Contact us and we will handle your request accordingly.

How We Protect Your Information

We use security measures appropriate to how sensitive this information is, including:

  • Encryption of data in transit (TLS/HTTPS)
  • Limiting access to people who need it to deliver your coaching
  • Relying on established platforms with their own security programs for payments and coaching delivery
  • Multi-factor authentication on business accounts where available

No method of transmission or storage is completely secure, so we cannot guarantee absolute security.

Please do not email us medical records or diagnostic documents. Use the coaching platform, or contact us and we will arrange a secure alternative.

If There Is a Data Breach

If we learn of a security breach that compromises your unencrypted personal information, we will notify you in the most expedient time possible and without unreasonable delay, consistent with California Civil Code section 1798.82 and any other applicable law.

We will notify you by email at the address we have on file. The notice will describe, as best we know it: what happened, what categories of information were involved, what we are doing about it, and what you can do to protect yourself.

Children's Privacy

Our Services are for adults 18 and older. We do not knowingly collect personal information from anyone under 18, and the Site is not directed to children.

If you believe someone under 18 has given us personal information, email chris@tetradtrainingco.com and we will delete it promptly.

Links to Other Sites

The Site may link to websites we do not control. This Policy does not apply to them. Please review their privacy policies before sharing information.

Important Notice About Health Information

Tetrad Training Company provides general exercise and lifestyle guidance. We are not medical providers and we are not licensed dietitians. Consult a physician or physical therapist for medical clearance before beginning any exercise program.

The health information you share with us is not protected health information under HIPAA, because we are not a covered entity or business associate under that law. It is protected under this Policy and under applicable California privacy law.

Changes to This Policy

We may update this Policy from time to time. We will post the current version on this page and update the "Last Updated" date. If we make a material change, we will notify you by email or with a prominent notice on the Site at least 14 days before it takes effect.
